01 / Workflow examples

Different businesses.
Specific problems.

From exact-piece reservations to component-level traceability. Two illustrative workflows drawn from our project experience.

Explore the workflow Shared inventory

Identify the exact jewellery piece, its HUID and its branch location. Check availability before making a reservation.

The exact piece. Every step connected.

Two brands can share one inventory without losing sight of the individual item, its reservation, or its location.

Read the complete workflow
  1. Brand A. A customer enquiry begins with one brand. Behind the experience, staff work with shared physical stock.
  2. Brand B. A second brand connects to the same physical inventory. The brands are not independent inventory tenants.
  3. Shared inventory. Identify the exact jewellery piece, its HUID and its branch location. Check availability before making a reservation.
  4. Estimate & reserve. For an available piece, prepare an estimate and reserve that specific item. The piece identity stays connected to the order.
  5. Choose another. If the requested piece is unavailable, choose an alternative and return to the shared stock check. This is an illustrative exception path.
  6. Branch transfer. If the piece is at another branch, coordinate its movement and update its location before completing the order.
  7. Local handoff. If the piece is already at the required branch, the workflow continues locally without a branch transfer.
  8. Order & invoice. Confirm the order, issue the invoice and update stock records. The same piece identity connects the handoffs.

Explore the workflow Intake & barcode

Create the intake record and barcode identity. This provides a common reference for quality checks, components and branch movements.

One unit. A history that moves with it.

Track a device through intake, component changes, quality checks, and the next branch handoff.

Read the complete workflow
  1. New unit. A new laptop, desktop or workstation enters the intake workflow, ready to be identified and checked.
  2. Refurbished. A refurbished device enters the same traceable lifecycle, with its condition and component history relevant to the next steps.
  3. Intake & barcode. Create the intake record and barcode identity. This provides a common reference for quality checks, components and branch movements.
  4. Quality check. Check the unit before it enters ready stock. If it needs component work, return it for another check after those changes.
  5. Component work. Record component additions and removals against the unit, then return to QC. The loop illustrates how the history remains connected.
  6. Ready stock. After QC, the unit can enter ready stock and connect to the catalogue and an order. Its identity is retained.
  7. Branch transfer. When the unit is needed at another branch, record that movement against its barcode. Otherwise, continue with local fulfilment.
  8. Fulfil the order. Fulfil the order with the device linked to its intake, component and branch history. This diagram is an illustrative lifecycle, not a claim that every step runs automatically.

05 / The approach

Understand the work.
Then build the system.

A practical starting point for a custom software engagement.

01

Map the real workflow

Start with the people, records, exceptions, and handoffs behind the business problem.

02

Define a useful first scope

Agree what needs to connect, what can stay as it is, and how the work will be reviewed.

03

Build and review

Work through realistic scenarios together, including the exceptions that a demo can miss.

04

Plan what comes next

Discuss rollout, training, support, and further development as part of the engagement scope.

The person behind the work

Meet Shubham.

Exilara is led and operated by Shubham Chandra. You speak directly with the person building your software.

His experience spans business applications, physical infrastructure, and enterprise systems. That perspective helps connect the customer-facing experience to the operational work behind it.
